Electronic Service Addresses for SMSFs

What is an Electronic Service Address (ESA)?

An Electronic Service Address (ESA) is a unique electronic address used by self-managed super funds (SMSFs) to receive superannuation contribution information from employers.

Think of it like an email address for superannuation data. It allows contribution details to be securely sent through the SuperStream system.

An ESA is not:

  • An email address
  • A website address
  • A postal address

It is a unique identifier issued by an approved SuperStream messaging provider.


Why does an SMSF need an ESA?

Australian employers are required to send super contributions using the SuperStream system.

To receive these contributions, an SMSF must have:

  • An Australian Business Number (ABN)
  • A bank account to receive contributions
  • An Electronic Service Address (ESA)

Without an ESA, employers are generally unable to process super contributions to the SMSF.


When is an ESA required?

An ESA is generally required when:

  • An SMSF member receives employer super contributions.
  • A new SMSF member starts a job and wishes to receive employer contributions through the SMSF.
  • Existing employment arrangements continue after establishing an SMSF.

An ESA may not be immediately required if:

  • No employer contributions will be received.
  • The fund is fully in pension phase and no longer receiving contributions.

However, maintaining an active ESA is generally recommended while the fund remains operational.


How do employers use the ESA?

When an employee asks an employer to pay super to their SMSF, the employer will typically request:

  • SMSF name
  • SMSF ABN
  • SMSF bank account details
  • Electronic Service Address (ESA)

The employer enters these details into their payroll software to facilitate SuperStream reporting and payments.


Does the ESA receive the actual money?

No.  The ESA only receives contribution data. The super contribution funds are deposited directly into the SMSF’s nominated bank account.


Is the ESA the same as the fund’s email address?

No. The ESA is completely separate from the fund’s email address.

For example:

Fund email: trustee@example.com
ESA: ABC12345

The ESA is a SuperStream identifier only.


Who provides the ESA?

The ESA is issued by an approved SuperStream messaging provider.

Many SMSF administration platforms arrange this automatically as part of their service offering.  The ATO maintains a list of SMSF messaging providers on their website which you can see online here: Register of SMSF messaging providers | Australian Taxation Office


Can an ESA change?

Yes.  An ESA may change if:

  • The SMSF changes administration providers.
  • The messaging provider changes.
  • New SuperStream arrangements are implemented.

If the ESA changes, employers should be notified so payroll records can be updated.


What happens if an employer uses the wrong ESA?

Contributions may be delayed, rejected, or require manual investigation.

This can create:

  • Additional administration work
  • Delays in contributions reaching the SMSF
  • Compliance concerns if contributions are not processed correctly

Trustees should ensure employers always have current ESA details.


How do I find my SMSF’s ESA?

You may find it:

  • Through your SMSF administrator
  • Through your SuperStream provider
  • In correspondence relating to employer contribution setup

 

Common Questions

I have just established my SMSF. Do I need an ESA immediately?

If employer contributions will be received, yes. The ESA will need to be established before providing fund details to your employer.

Can I use my own email address as my ESA?

No. An ESA must be issued by an approved SuperStream messaging provider.

Does every SMSF have an ESA?

Most SMSFs that receive employer contributions have an ESA. The requirement depends on how the fund will operate and whether contributions are being received via SuperStream.

Will my ESA appear on my bank statements?

No. The ESA is used for SuperStream data transmission and is separate from the fund’s bank account.

What should I do if my employer says the ESA is invalid?

Contact your SMSF administrator as soon as possible to verify the ESA and provide any updated details required.
